Custom hair salon booking system: 20 reasons and a case study
Tuesday, 2:10 p.m. You have a tint brush in one hand, and your phone is ringing in your apron pocket. One client wants to move her highlights, another asks whether you do home visits. Online booking won’t stop calls like these, but it moves some of them to a place where they don’t interrupt you. We’ll show how on the website we built for EB kadeřnictví, a hair salon in Radonice near Prague, and we’ve listed 20 reasons to have a custom booking system built for your salon. We’re also honest about five situations where an off-the-shelf booking app is all you need.

Hairdressing and beauty is an industry of very small businesses in both Czechia and Slovakia. For 2024, Eurostat counts 43,396 businesses in class 96.02 in Czechia but only 3,644 employees, and 13,607 businesses with 2,901 employees in Slovakia (Eurostat, sbs_ovw_act). Most have no employees at all, so the owner cuts hair, takes bookings, collects payment and answers messages. That’s why a booking system only makes sense if it really takes work off your plate.
This article has three parts. First, a case study: what the EB kadeřnictví website and admin panel can do and what we focused on. Then 20 reasons in four areas and a comparison with off-the-shelf booking apps based on their public price lists. Finally, when a custom system isn’t worth it, what it costs and how to get started. Current as of October 17, 2026.
01Hair salon booking system: the short answer
- Clients pick a service and a free slot themselves, and the system accounts for service length, breaks and home visits.
- Two people can’t get the same slot, because the server checks every booking again before saving it.
- Gift vouchers, payments after the visit and revenue reports sit in one admin panel, on your phone too.
- Czechia starts EET 2.0 on January 1, 2027, and since May 1, 2026, Slovak salons must allow customers to pay cashless. A system that knows how each payment was made makes both easier.
- If you work alone and just need a calendar, use an off-the-shelf app. Custom pays off mainly together with a new website, or for a salon with several people.

02Case study: the EB kadeřnictví website and booking system
EB kadeřnictví is Eliška Balounová’s one-woman salon in Radonice near Prague. She cuts hair for women, men and children, specializes in highlights, airtouch and balayage, and also visits clients at home. We designed and built a new website, ebkadernictvi.cz, with online booking, gift vouchers and an admin panel where Eliška runs the whole salon. The site is in Czech, but the same ideas apply to any salon. We took the website, online booking and admin panel from brief to launch in 3 weeks. For a typical booking system, our price list allows 5 to 9 weeks depending on scope. You’ll find the full write-up with 26 screenshots in our portfolio.

What we focused on
- Booking from a phone in a few steps. Four steps: who it’s for, service, time and contact details. After each choice, the page scrolls to the next decision.
- Only slots that are actually free. They’re calculated from opening hours, vacations and exceptions, service length and existing bookings. The server recalculates price and length from its own price list and locks the slot when saving.
- Home visits as a full service. Separate working hours for home visits, a per-kilometer fee and only the services that can be done outside the salon.
- An admin panel that fits on a phone. Today’s overview, calendar, bookings to approve, vouchers, finances and all website content. It can be added to the phone’s home screen like an app and sends a notification for every new booking.
- Speed and data protection. The public website is static, inspiration photos are kept in private storage, and old data is deleted or anonymized automatically.

A booking made on the website first waits for approval. Eliška approves or declines it with one tap and sends the client a text or WhatsApp message with prefilled wording. The client can add the appointment to her phone calendar with reminders a day and an hour before, attach up to three inspiration photos and cancel online up to 24 hours ahead. For highlights, airtouch and balayage, the salon’s rules ask for 48 hours’ notice.

We measured speed with Lighthouse on the home page on October 17, 2026. Mobile performance scored 93 to 96 across three runs and desktop scored 100. Accessibility, best practices and SEO all scored 100, and the layout doesn’t shift while the page loads.

Our measurement on October 17, 2026, Lighthouse 12.6.1, home page of www.ebkadernictvi.cz, three runs; for mobile performance we show the lowest score (93, 93 and 96). What Lighthouse measures is explained by Google.
03Bookings and calendar: reasons 1 to 5
1. Slots based on the real length of each service. A women’s cut takes 30 minutes or more, highlights at least two hours and balayage even longer. Off-the-shelf apps usually handle this. The differences are in the details, such as “from” prices or combining two services, and depend on the specific tool. For services priced “from,” the EB system plans for the longer version so the appointment ends before closing time.
2. No double bookings. When two clients pick the same time at the same moment, only one gets it. The EB server checks each booking again before saving and locks the slot. The same check applies when Eliška enters a booking by hand, for example after a phone call.
3. Home visits with their own working hours. A home visit is more than a note on the booking. At EB it has its own hours (Monday to Thursday 12:00 to 20:00, Friday 8:00 to 20:00), it’s free within Radonice and CZK 25 per kilometer elsewhere, and the website offers only services that can be done outside the salon (how it works, in Czech). If you have a rule that’s specific to your salon, check in a ready-made app’s free trial whether you can set it up.
4. The owner has the final say. Not every salon wants bookings to confirm themselves. At EB they wait for approval, and Eliška confirms with one tap. Notifications about new bookings, cancellations and voucher orders go straight to her phone.
5. Booking window and cancellation rules. Clients can book only a set number of weeks ahead (eight on the live EB site; it’s a setting in the admin panel) and cancel online up to 24 hours before the appointment. For long color services, EB’s house rules ask for 48 hours’ notice. A custom system can enforce a different limit for each service, so the rules follow your price list, not the other way around.
04Clients and messages: reasons 6 to 10
6. Inspiration photos right in the booking. For color work, a photo saves a lot of explaining. At EB, a client can attach up to three photos; the browser shrinks them and uploads them to private storage that only the admin panel can see. Photos of faces and hair are personal data, so they’re deleted automatically 60 days after the appointment. The GDPR requires personal data to be limited to what’s necessary and kept no longer than necessary (GDPR, Article 5).
7. The appointment in the phone calendar, plus reminders. After booking, an EB client can add the appointment to Apple, Outlook or Google Calendar with reminders a day and an hour before, and she gets an email the day before. A Cochrane review (moderate quality evidence) shows that reminders help, although for healthcare appointments:
- No reminder67.8%
- Text message reminder78.6%
- Phone call reminder80.3%
Cochrane review from 2013, eight randomized trials with 6,615 participants, all for healthcare appointments. Source: PubMed 24310741.
8. Messages the law allows. In our reading, an appointment reminder is a service message. In our reading, an offer of a free slot or a discount is marketing. In Czechia you can email or text it only with consent, or to your own customer for similar services if every message lets her opt out (Act No. 480/2004 Coll., Section 7). The Czech data protection authority treats review requests as marketing too and says clients must be able to opt out when you collect their contact details (ÚOOÚ annual report 2025, in Czech). Slovakia has similar rules plus a one-year limit after the customer relationship ends (Act No. 452/2021 Coll., Section 116). A custom system can record what each client has opted out of and send messages accordingly. We recommend setting this up from the start.

9. One client, one profile. Jane Smith books online once, via WhatsApp the next time, and types her phone number with different spacing. The EB system normalizes names and phone numbers, so the client profile shows every visit, total spend and a private note. Suggestions help when entering bookings by hand.
10. A website clients can find. Booking on your own website brings clients to your pages instead of a marketplace where other salons sit right next to you. The EB site has structured data for a hair salon, the towns Eliška travels to and the speed shown above.
05Vouchers, payments, EET 2.0 and eKasa: reasons 11 to 15
11. Gift vouchers clients can order online. At EB, a client designs a voucher for CZK 300 to 20,000 or for a specific service, picks one of three designs and a dedication, and once it’s paid, gets it as a PDF by email or printed at the salon. Eliška arranges payment with the client, vouchers are valid for 12 months, and the admin panel tracks the remaining balance.

12. Payment after the visit, without mental math. In the payment window, Eliška picks cash (the system calculates change and rounds), a QR bank transfer or a gift voucher with a top-up, and can record a tip. Each payment is recorded once, and a voucher can’t be spent twice. Card payments are switched off at EB for now, and she can turn them on whenever she wants.
13. EET 2.0 in Czechia and eKasa in Slovakia. The new Czech sales registration act was published as No. 180/2026 Coll. (Chamber of Deputies), and registration starts on January 1, 2027 (Czech Financial Administration). Every in-person payment must be registered, whether in cash, by card or by QR code; remote payments through a payment gateway or a QR code on a website are not (eet.gov.cz). For a voucher, only the sale is registered if it took place in person, and redeeming it is not (MF and FS seminar). In Slovakia, Act No. 384/2025 Coll. has been in force since January 1, 2026: a QR payment at the point of sale counts as revenue, and since May 1, 2026 you must allow customers to pay cashless for anything over €1 (Sections 15 and 19). For a QR payment in the salon, the eKasa register must receive confirmation of the payment (Section 15(3)), so a QR payment from your system has to be linked to your register. In our reading, a system that knows where and how each payment happened helps separate registrable revenue from the rest. We check the link to your specific cash register or app during the initial analysis.
14. Revenue figures you can trust. At EB, revenue counts only bookings marked Done. Past appointments without an outcome wait in a To mark section with Done and No-show buttons, so you know who didn’t come. Finances show revenue, estimated profit, average per booking, revenue per hour in the chair and where clients came from, and the data can be exported to CSV.
15. No per-staff fees and no platform commission. Some off-the-shelf apps charge per person or take a share of online payments, others have a flat plan. Fresha’s Team plan costs CZK 188.95 per team member per month (Fresha), reenio has a flat price with unlimited team members (reenio), and Reservio charges online payment fees from 1.19% + CZK 2.55 on its top plan to 3.00% + CZK 2.55 on the Free plan (Reservio). In the UK, Booksy publishes a one-time fee of 30% of the cost of a new client’s first visit (at least £5) for clients it brings in through its Boost feature (Booksy). With a custom system, you pay for maintenance and, if you take online payments, only your payment provider’s fee. There’s no extra charge for each additional stylist.
06Data, law and operations: reasons 16 to 20
16. Data kept only as long as needed. The EB system anonymizes bookings after 12 months and voucher orders after 24 months, and it deletes inspiration photos 60 days after the appointment. Nobody has to remember to do it; it runs automatically every day.
17. A secure admin panel. The EB admin panel is protected by a PIN, and sign-in locks for 15 minutes after five wrong attempts. Forms are protected by bot detection, a hidden field and limits on the number of bookings from one IP address. Client photos are visible only in the signed-in admin panel.
18. Website content without calling a developer. Eliška updates the price list, opening hours, vacations, texts, reviews and gallery photos herself, and changes show on the website right away. The price list supports bulk price increases in percent. The website stays static and fast.
19. The admin panel as an app on your phone. The EB admin panel can be added to a phone’s home screen as an EB Admin icon. It delivers notifications about new bookings, cancellations and voucher orders on iPhone and Android. We cover how to set up notifications that don’t annoy people in App notifications and emails.

20. Your data and code belong to you. With us, the code, access and data belong to the client. With your own system, you hold the database and data exports. What to cover in the contract is summarized in Software development agreement.
07Salon booking app or a custom booking system
Off-the-shelf booking apps are cheap and quick to set up. For comparison, we went through public price lists on October 17, 2026 (prices exclude VAT):
| System | Price | Watch out for |
|---|---|---|
| [Reservio](https://www.reservio.com/cs/cenik) | Free CZK 0, paid plans from CZK 199 a month with annual billing | Free up to 40 bookings per 30 days, multi-user access only on the Pro plan, text reminders cost extra |
| [reenio](https://reenio.cz/cs/balicky) | FREE CZK 0, BUSINESS CZK 245, PREMIUM CZK 614 a month | Unlimited team members, FREE up to 50 bookings a month, BUSINESS up to 1,000 with 80 credits a month included; texts and online payments are paid from credit |
| [Noona](https://noona.app/hq/cs-cz/pricing) | Starter CZK 213 a month solo, CZK 170 per calendar for teams | Starter up to 3 calendars; Professional includes 40 free text reminders per calendar a month, Premium unlimited |
| [Fresha](https://www.fresha.com/cs/pricing) | Independent CZK 282.95 a month, Team CZK 188.95 per team member a month | The price grows with each person who takes bookings |
An off-the-shelf app fits most of the industry, because most hair and beauty salons have no employees:
- CzechiaBusinesses: 43,396Employees: 3,644
- SlovakiaBusinesses: 13,607Employees: 2,901

For a salon with three people taking bookings, our calculation comes to CZK 245 to 567 a month, or roughly CZK 15,000 to 34,000 over five years, excluding text messages and payment fees. Our custom booking systems start at CZK 90,000 plus maintenance from CZK 3,000 a month, so at least CZK 270,000 over five years. If you also need a new website, our price list has a website with booking from CZK 100,000. On the monthly bill, a custom system won’t win. It pays off when you need a new website, your own rules, vouchers, payments and finances in one place, and you don’t want to pay for every additional person.
08Five situations where a custom system isn’t worth it
- You work alone and an online calendar is enough. A free or inexpensive booking app does most of the work. Custom makes sense when you also need a new website, vouchers or home visits with your own rules, as EB kadeřnictví did.
- You mainly want new clients from an app. Marketplaces such as Fresha bring in people who don’t know you yet. Your own website has to attract them through search and social media.
- You don’t want a large one-time investment. A custom system is a one-time cost from CZK 90,000 excluding VAT. If that’s not in the budget, start with an off-the-shelf app and come back when the salon grows.
- You don’t have time to prepare the inputs. You need to supply a price list with service lengths, cancellation rules, opening hours and texts. Without them, the system can’t be built.
- You need it within a week. According to our price list, a booking system takes 5 to 9 weeks depending on scope (EB took 3 weeks from brief to launch). An off-the-shelf app can be set up much faster.
09How much a salon booking system costs and how to start
According to our price list, a booking system with appointments, capacity and payments starts at CZK 90,000 excluding VAT and takes 5 to 9 weeks. If you want a new website and booking at the same time, like EB, a website with booking starts at CZK 100,000 and takes 6 to 10 weeks. A business website without booking starts at CZK 70,000, and basic maintenance with backups, updates and monitoring starts at CZK 3,000 a month, with no per-user licenses. Fixes are free for 180 days after launch. The exact price depends on scope: home visits, vouchers, payments, number of staff and locations.
- A short call. We find out how you take bookings today, how many people work in the salon and what slows you down most.
- A fixed-price quote. Within 2 business days, you get a quote with a fixed price and deadline.
- Price list and rules. Together we go through your services and their lengths, cancellations, home visits and vouchers.
- Design and development. You see a test version as we go and try it on your own phone.
- Launch and maintenance. We launch the website with booking, show you the admin panel and keep looking after the system.

10FAQ
How much does a custom hair salon booking system cost?
With us, it starts at CZK 90,000 excluding VAT and takes 5 to 9 weeks, with maintenance from CZK 3,000 a month. Off-the-shelf apps have free plans or cost a few hundred CZK a month, but many charge per person or take a share of online payments.
Is a custom system worth it if I work alone?
Usually not, if an online calendar is enough. It’s worth it when you also need a new website with booking, vouchers, home visits and payments that follow your own rules. That was the case for Eliška at EB kadeřnictví.
Does a Czech salon have to register sales from 2027?
Yes. From January 1, 2027, EET 2.0 applies to in-person payments: cash, card and QR codes. In our reading, that includes payments at a client’s home. Self-employed people in the first band of the flat-tax regime with income up to CZK 1 million a year can opt out through the EET OFF regime: they register by January 11, 2027 and pay a surcharge of CZK 1,400 a month (Czech Financial Administration). The Financial Administration will launch a free web app, MOJE eet, on December 1, 2026.
Does a Slovak salon have to accept cards?
Since May 1, 2026, you must let customers pay cashless for anything over €1 (Act No. 384/2025 Coll.). The act explicitly provides for cashless payment by scanning a QR payment order, with the eKasa register receiving confirmation of the payment (Section 15(3)), but check with a tax advisor whether offering only QR payments is enough in your case.
Can I text clients appointment reminders?
In our reading, a reminder of a booked appointment is a service message. Offers, discounts and review requests are marketing: send them to your own clients for similar services only if they can opt out when booking and in every message (in Slovakia, for up to one year after the customer relationship ends), and otherwise only with consent.
Can I charge a cancellation fee or a deposit?
A cancellation fee has to be agreed in advance, for example in terms the client accepts when booking. In our reading, Czech law treats it as a contractual penalty, and a court can reduce one that is unreasonably high (Civil Code, Sections 2048 and 2051, in Czech). A deposit for long services works the same way: state it in your terms before the client books. EB, for example, may ask for a deposit for the next long booking after a no-show. Slovak law has its own rules, so go over the exact terms with a lawyer.
11Conclusion
A salon booking system should mainly cut down on phone calls and retyping. If an online calendar is enough, use an off-the-shelf app. If you want your website, bookings, home visits, vouchers and finances in one place, following your own rules, show us how you take bookings today.
You’ll get a fixed-price quote within 2 business days.
