Google and Firmy.cz reviews: How to request feedback and handle criticism

A happy customer leaves without a review. An unhappy customer posts one, and nobody notices for several days. A simple operating process helps: make independent feedback easy, catch problems and respond with useful next steps. Google and the Czech service Firmy.cz have different rules. Include Firmy.cz when it is relevant to the Czech market you serve.

01Start with accurate profiles and clear ownership

Check the business name, location, opening hours and contact details. Assign an owner and somebody to cover their absence. A review should not be missed because a former colleague controls the account. Test notifications and agree where the team records cases that need follow-up.

Separate platform requirements from your own operating rules. Checking each working morning may be a sensible internal arrangement; it is not a general legal deadline. The person covering the profile should know which replies they can send and when an operations manager needs to take over. An alleged data leak or threat of violence needs more than the usual response template.

02Ask for an experience, not five stars

Choose a neutral point after the service has actually been provided, when the customer can assess it. Apply the same principle to the relevant customer group. A preliminary “Were you happy?” question must not become a filter that sends only satisfied people to Google.

Google prohibits incentives and selectively seeking positive reviews. Its rules also prohibit pressure to review on the premises and asking staff to solicit a set number of reviews. Do not turn reception staff into competitors for review totals or dictate the wording customers should use.

An original neutral request could say: “Thank you for visiting. If you would like to, please share your experience on our profile. It helps us understand what works and what we should improve.” Add the relevant link. The customer chooses whether to review, the rating and the text. Discounts or prize-draw entry should not be rewards for posting.

03Make the route to the correct profile straightforward

Open your Google Business Profile and its reviews section. The current Google instructions describe Read reviews, then Get more reviews, to obtain a link or QR code. They describe QR generation in a desktop browser. The control names can vary with the interface language.

Test the link on a phone that is not signed in as an administrator. Confirm the correct branch. A card at collection can offer an optional invitation and QR code, but do not make customers review in front of staff. For Firmy.cz, link to the correct business detail and test that route independently too.

Do not automatically email every contact in your CRM. In a decision about review questionnaires, the Czech authority treated comparable emails as commercial communications. For Czech campaigns, assess eligibility, sender identification and refusal options. Assess UK and other markets under their own rules. A platform’s suggestion to email customers is not a substitute for local legal requirements.

04Respond to the situation in front of you

Your reply is read by the reviewer and future customers. Help them understand what you will do. A positive review can receive a specific acknowledgement without repeating the whole brand slogan. For criticism, establish what happened before replying. An angry tone does not necessarily make the underlying complaint inaccurate.

A useful working structure is to acknowledge the reported experience, give brief verified context and propose a next step. Do not promise an investigation “today” unless somebody can deliver it. Avoid speculation about an employee’s fault or a customer’s private circumstances. Write a response you would be comfortable explaining to the team responsible for the work.

This table is a drafting aid, not an automatic reply engine. Similar complaints can have different causes. Before publishing, check that the answer responds to what the customer actually said rather than the situation you expected to find.

05Adapt a template without pretending the issue is resolved

An illustrative response to a delay after an appointment time could read: “We are sorry you had to wait beyond the agreed time. We will check what happened with the booking. Please use the contact details on our profile and include the date of your visit. The person handling the case will discuss the next step with you.”

Use that wording only if you can carry out the process. If you already know the mistake was yours, acknowledge it appropriately and explain a concrete remedy. If you are still establishing facts, do not describe the complaint as resolved. A short public response can sit alongside detailed private work.

The Czech authority warns against exposing customer data when replying to criticism. Do not publish addresses, order identifiers, private correspondence or health details. Evidence may be useful to an internal investigation or the platform; a public thread is not a customer case file.

06Use the specific reply rules for Firmy.cz

In Firmy.cz administration, use Hodnocení, the reviews section. Its reply guidance states that editing the original review removes the business’s reply too. Revisit cases after posting. Reviews imported from Zboží.cz are answered through the Zboží.cz administration.

The Firmy.cz rules prohibit URL links and telephone numbers in replies, while allowing a contact email. Do not paste a Google response without checking it. The overall rating also uses internal review weights, so do not explain it as a simple arithmetic average. These details matter when the same team handles both profiles.

07Report a rule violation with evidence

A low rating is not itself a policy breach. Distinguish disagreement from a fabricated experience, abuse or exposed personal information. Record the review link, date, relevant content and the specific reporting reason. Failure to match a public name to your CRM does not prove that the person was never a customer.

Use Google’s inappropriate-review reporting process. The review management tool shows the status, and its documented process allows a one-time appeal after an unsuccessful assessment. Repeated reports do not guarantee removal. Keep the original record and the platform’s decision together so another colleague can understand what has already happened.

Firmy.cz has a separate route for unclear reviews. Under its rules, replying within 90 days and then contacting the administrators can lead to temporary hiding while the facts are clarified. This is a conditional review process, not a business’s right to erase criticism. Provide only the necessary supporting material and keep it out of the public response.

08Measure resolution and recurring causes

Maintain a compact record of platform, date, issue, owner, first response, status and agreed remedy. Track repeated causes separately: unclear pricing and long waits are operating problems, not merely writing problems. A better response cannot prevent the same failure on the next booking.

If you track clicks on your own page of review links, do not report them as submitted reviews. A public display name cannot reliably link every rating to a particular email. With small volumes, avoid drawing strong conclusions from week-to-week fluctuations. Assess how well cases are handled without creating review-solicitation quotas for staff.

When connecting your website and CRM, include case ownership and resolution status. An automatic response without knowledge of the circumstances can be less helpful than a short, checked reply. Review whether promised remedies happened, and feed repeated problems into the team’s improvement work.

09Common questions

Can we offer a discount for an honest Google review?

No. Google’s prohibition on incentives also applies when you do not demand a positive rating.

Can we ask somebody to update a review after a remedy?

The customer must decide freely. Do not make a remedy, refund or other benefit conditional on changing or removing the review.

Should we respond to every attack?

First distinguish a complaint, a policy breach and a threat. Escalate serious cases, preserve evidence and use the appropriate process. A public argument will not resolve the underlying issue.
